Our Commitment

Scout-Ops was built by a Girl Scout troop leader to reduce administrative burden for volunteers while respecting the privacy of girls, families, and troop communities. We believe troop information should be used only to support troop operations — never sold, mined, or used for advertising.

1. Who We Are

Scout-Ops is a troop management platform designed for Girl Scout troop leaders, volunteers, parents, and guardians. It helps troops manage rosters, events, badges, dues, cookie seasons, and communications. Scout-Ops is hosted on Base44 infrastructure and may rely on Base44 and related service providers to operate securely. Users are using Scout-Ops, and this policy governs Scout-Ops's own data practices.

2. Information We Collect

Scout-Ops collects information entered by authorized users to operate troop management features. This may include:

  • Names and email addresses of troop members, leaders, volunteers, and parents/guardians
  • Troop membership information, roles, and assignment details
  • Event RSVPs and attendance records
  • Badge progress, earned badges, and related notes
  • Payment requests, dues records, and financial transaction descriptions
  • Messages, announcements, and communications within the platform
  • Information about minors entered by authorized parents, guardians, troop leaders, or volunteers
  • Any additional information voluntarily entered by authorized users

Scout-Ops may contain information about minors. This information is entered solely by authorized adults — parents, guardians, troop leaders, or approved volunteers — for the purpose of managing troop activities.

3. How We Use Information

Data collected in Scout-Ops is used to:

  • Operate troop management features including roster, events, and planning tools
  • Support troop communications and announcements
  • Track RSVPs, attendance, and volunteer coordination
  • Manage badge progress and troop program records
  • Process payment requests and financial records
  • Provide customer support and respond to inquiries
  • Improve the application based on usage patterns and aggregate analytics

Scout-Ops does not sell, rent, or trade personal information. Scout-Ops does not use user data for advertising.

4. Payments

Payments are processed through third-party payment providers such as Stripe. Scout-Ops does not store full payment card numbers. Payment card data is handled directly by the payment processor under their applicable security and compliance standards. Scout-Ops retains only payment request records, amounts, and status information for troop financial management.

5. Data Sharing

Scout-Ops does not sell or rent personal information to third parties. We may share data with service providers who assist in operating the platform (such as hosting infrastructure, authentication services, and payment processors) only to the extent necessary for those services to function. These providers are not authorized to use your data for their own purposes.

6. Data Security

Scout-Ops is hosted on Base44 infrastructure and relies on Base44 and related service providers to maintain platform security. We implement role-based access controls and troop-level data isolation to limit access to information to only authorized users within the appropriate troop. Connections to Scout-Ops use HTTPS encryption where supported.

7. Your Rights

You have the right to:

  • Request correction of inaccurate information by contacting support
  • Request deletion of your data or account by contacting support
  • As a parent or guardian, request review or removal of your child's information entered into Scout-Ops

To exercise any of these rights, contact us at the support address provided in the app.

8. Children's Privacy

Scout-Ops is intended for use by adults (troop leaders, volunteers, and parents/guardians) who manage troop information on behalf of minors. We do not knowingly collect information directly from children. All information about minors is entered by authorized adults with appropriate authority to do so.

9. Changes to This Policy

We may update this Privacy Policy periodically. Continued use of Scout-Ops after changes are posted constitutes acceptance of the updated policy.

Legal Disclaimer: This Privacy Policy is informational and reflects Scout-Ops's current practices. It should be reviewed by qualified legal counsel to ensure compliance with applicable laws and regulations in your jurisdiction, including but not limited to COPPA, CCPA, and GDPR where applicable.
