Terms of Use

Scout-Ops · Last updated June 2025

Our Commitment

Scout-Ops was built by a Girl Scout troop leader to reduce administrative burden for volunteers while respecting the privacy of girls, families, and troop communities. We believe troop information should be used only to support troop operations — never sold, mined, or used for advertising.

1. Acceptance of Terms

By accessing or using Scout-Ops, you agree to these Terms of Use. If you do not agree, do not use the platform. These terms apply to all users including troop leaders, volunteers, parents, guardians, and any other authorized users.

2. Authorized Users

Scout-Ops is intended for use by authorized troop leaders, volunteers, parents, guardians, and approved users connected to a registered troop or service unit. Access is granted by troop administrators. Users are responsible for maintaining the security of their login credentials and for all activity under their account.

3. Accuracy of Information

Users are responsible for ensuring that information they enter into Scout-Ops is accurate, up-to-date, and appropriate. Troop leaders and administrators are responsible for the accuracy of scout records, membership data, and financial records entered by members of their troop.

4. Prohibited Conduct

Users may not:

  • Access or attempt to access troop data belonging to a troop you are not authorized to view
  • Scrape, harvest, or systematically extract data from Scout-Ops
  • Harass, threaten, or abuse other users through any Scout-Ops communication feature
  • Upload, post, or transmit any unlawful, harmful, or inappropriate content
  • Use Scout-Ops for any purpose other than legitimate troop management activities
  • Attempt to circumvent any access controls, security measures, or role-based restrictions
  • Share login credentials with unauthorized individuals

5. Not a Replacement for Council Policies

Important: Scout-Ops is a troop management tool and does not replace official Girl Scouts council policies, Safety Activity Checkpoints, or required council approvals.

Troop leaders and volunteers remain solely responsible for:

  • Following all applicable GSGLA, GSUSA, and council rules and policies
  • Complying with Safety Activity Checkpoints for all troop activities
  • Obtaining required council approvals for events, trips, and activities
  • Maintaining required adult-to-girl ratios at all in-person events
  • Completing required training (First Aid, Volunteer Essentials, etc.)
  • Collecting and retaining required permission forms and health forms
  • Following troop financial policies and reporting requirements

Scout-Ops may assist with organizing and tracking information, but it is not a substitute for leader judgment, council guidance, or required paperwork.

6. Enforcement and Account Suspension

Scout-Ops reserves the right to update, suspend, or remove access for any user or troop found to be in violation of these terms, misusing the platform, or engaging in any prohibited conduct. Scout-Ops may modify these terms at any time. Continued use after changes are posted constitutes acceptance.

7. Disclaimers

Scout-Ops is provided "as is" for troop management purposes. We make no warranties regarding uninterrupted availability, complete accuracy of records, or fitness for any particular purpose. Scout-Ops is not affiliated with or endorsed by Girl Scouts of the USA or any local council.

8. Contact
